Now answering for HVAC companies nationwide
Real Shops, Real Results
“We stopped losing jobs to whoever called back first. Now we're the ones who call back first — every time, even when nobody's actually at the phone.”— Owner, Coastline Air & Heat (example account used throughout this page)
Pulled straight from Coastline Air & Heat's own records — the same example account used throughout this page.
Built For A Growing Team
“I don't have a website guy or someone answering phones. It's me, my truck, and now Bob. Customers can't tell we're a one-truck operation — and that's exactly the point.”— Tony Reyes, Owner-Operator, Reyes Heating & Cooling (one truck, example account)
Built For A One-Truck Shop
No contract, no long-term commitment — $197/month flat, cancel anytime, whether you're one truck or ten.
What I Do
I'm Bob, your real virtual front desk — trained on your services, your area, and how you talk to customers. Here's the whole flow:
01
Website chat, Facebook, Instagram, Google Business, or a text to your line — I reply in seconds, nights or weekends. No hold music, no voicemail, no callback.
02
I ask what a dispatcher would — so the job's already scoped by the time you see it.
03
I put it straight on your calendar and send you the summary.
04
No site yet? I'll build you one free — pick a template, and your chat and booking are already wired in.
05
Reminders, on-my-way texts, and tune-up nudges — all automatic.
06
4–5 stars go straight to Google. Anything lower comes to you first.
Beyond The Website
I can sit behind any link you hand a customer — a bio link on social media, or a text you send when nobody could get to the phone. I also keep in touch through the whole job with reminders, and follow up after to collect reviews and bring customers back for their next service.
The core version — me, as a chat bubble embedded directly on Coastline's own website. Click through below; it's the real thing, not a screenshot.
Licensed & Insured · Locally Owned
Schedule ServiceFor most "HVAC near me" searches, Coastline's Google listing gets seen before their website does. Their listing's Website button leads straight to me — catching the highest-intent moment in the whole search, with nothing extra to set up on Google's end.
Nobody picked up the phone. Coastline's number automatically sends one quick, no-spam text back with a link to me instead of leaving them with nothing but a missed call — and since that same number can take a call back too, nobody ever hits a dead end.
Once a job's marked complete, I text the customer automatically — only the ones who said yes to text updates when they booked — and ask them to rate the visit. 4–5 stars get a one-tap link to post on Google or Facebook themselves; anything lower comes straight to you, privately — nothing gets posted. If a happy customer doesn't confirm they left it, I follow up once after 2 days and once more a week later (both adjustable in your dashboard), then I let it go — no third nudge. Reminders pause if they're mid-conversation about something else, and you can mark a review posted yourself anytime to stop them early.
Illustrative preview — this page is hosted and controlled entirely by Google, not HelloBob. The customer signs in, picks their own rating, and posts it themselves.
Once a job's booked, I keep the customer in the loop on my own — a reminder the day before, then a heads-up the moment the technician's on the way. No dispatcher has to remember to send it.
Six months after a tune-up — or whatever cadence you set — I reach back out on my own, before the next breakdown instead of after.
Coastline's Facebook Page links out from its Website field. A visitor scrolling the app taps straight through and lands right in a chat with me — no separate search required.
Coastline puts one link in their Instagram bio. A visitor taps it straight from the app and I take it from there — no website visit required.
A code on the service van, an invoice, or a door hanger left after a visit. Someone scans it with their camera and lands straight in a chat with me — no number to dial, no app to search for.
We stopped by for your scheduled visit. Scan to chat with us anytime.
I can send booking confirmations, payment reminders, and review requests straight to your customers automatically, using the email you have on file — no extra step for you. And every invoice or quote email you send yourself can still close with a link to me instead of just a sign-off. The same logic applies to paid traffic — sending an ad click to a live chat instead of a static contact form gets an answer back in seconds, not after a form sits in an inbox.
Hi Maria,

How It Works
Here's exactly what happens, start to finish — from the form you fill out today to the reminder that brings a customer back next year.
~2 Minutes
Click Start My Free Trial and tell us your business name, service area, and how you'd like to be reached — email, text, or both. That's it. No sales call, no waiting on hold — you're moving in minutes, not days.
Same Day · ~10–15 Minutes
Sent however you asked to be reached, it asks for your hours, services, pricing, guarantees, and the dispatch software you already use. Save it and finish later if you need to — this is the real source material that makes me sound like your shop instead of a generic script.
We Build It For You
Using your answers, we configure my hours, pricing, services, and tone to match your business exactly, and connect me to your dispatch software so booked jobs land somewhere you already work. Already have a site? Adding me is one line of code. Don't have one? We build you a full website free — pick from 100 templates with chat and booking already wired in. Either way, you're not learning new software or waiting weeks on a developer.
Your Free 10-Day Trial Starts
I start answering immediately, everywhere a customer might reach you: website chat, texts to your business line, Facebook, Instagram, Google Business Profile messages, even an automatic text-back on a missed call. No card required, nothing due — this is your chance to see exactly how I handle a real conversation before you commit to anything. Same instant, on-brand reply, day or night, on every single one.
Every Conversation
I ask what a dispatcher would — what's wrong, the address, how urgent it is — so the job is already scoped by the time you see it. Then I book it straight onto your calendar and sync it to your dispatch software, so nothing has to be re-typed or re-entered by hand.
Before, During & After The Job
Appointment reminders and on-the-way texts go out automatically, so fewer customers forget or reschedule. After the job's done, I follow up to collect reviews, and send maintenance plan reminders down the line to bring that customer back for their next service — the kind of follow-through a one-truck owner or a busy dispatcher rarely has time for.
After Day 10
If I've earned a spot on your team, it's $197/month flat — the same price whether you run one truck or ten, no matter how many you add. If I haven't, cancel anytime; nothing was ever charged. Either way, the decision is entirely yours.
Built out one account at a time — tell us what you run at signup.
Try Them Yourself
No site yet? Pick from 100 templates — your chat widget and booking are already wired in.
I answer every chat, text, and social message instantly, and book the job straight onto your calendar.
Reputation
Once a job's marked done, I follow up automatically and ask the customer to rate it 1–5 stars. What happens next depends on the answer.
Job complete → automatic text: “How'd we do? Rate your visit 1–5 stars.”
I give the customer one tap to leave that review on Google or Facebook — sent right while the experience is still fresh, when they're most likely to follow through.
Builds your public ratingNothing gets posted. I send the feedback straight to you instead, so you can make it right with the customer before it ever becomes a public review.
Never posted publiclyWhat You're Really Paying For
Here's the math side by side — what HelloBob costs, what the alternatives cost, and what it costs to do nothing.
About $3.30 a day. Less than a large coffee — and Bob never calls in sick, never takes a lunch break, and never misses the 2am call.
Typical ranges for a live answering service and part-time front-desk help — actual rates vary by provider and market.
The real cost isn't HelloBob. A typical HVAC service call runs $300–$400. Miss just one job this year to a competitor who answered first, and you've already lost more than a full year of HelloBob.
Pricing
No per-conversation fees, no tiers to guess between. Everything you need to stop losing leads, for one price.
Common Questions
Yes. I'm configured with your real hours, pricing, and services before I ever talk to a customer — not a generic script shared across every company using me.
I capture the customer's name and number and hand the conversation to you directly, instead of letting them leave with no way to follow up.
No. You send us your business details, we configure everything on our end, and you paste one short snippet into your website — that's the whole setup.
We email you a login link for app.hellobob.com right after you sign up, sent to the address you gave us during setup — from there you just log in whenever you want to check leads, bookings, or reviews.
I cover a different channel entirely — the visitors who'd rather type a question on your website than make a call. I run alongside whatever phone setup you already have; nothing about your phones needs to change.
No. It's the same $197/month whether you're a one-truck outfit or running a full fleet — pricing isn't based on the size of your business or how many systems you service.
I don't replace the field service software your team already dispatches from — I plug into it. ServiceTitan, Housecall Pro, Jobber, FieldEdge, and more — tell us what you run at signup and we'll get it connected, so every booked job and contact lands right on the board your team already checks.
No contract. HelloBob is billed month to month at one flat rate, and you can cancel anytime.
Yes — I can be configured to answer in English or Spanish. This site itself has an EN/ES toggle in the top navigation, so you can see exactly how that looks before you sign up.
Of course — check out the See It In Action tab above. You can click through real ways customers reach me: website chat, Google Business Profile, missed-call text-back, review follow-up, Facebook, Instagram, QR codes on your trucks, and more.
Yes, when it's done right — and that's exactly what I handle. I only text customers who said yes, I keep reminders, on-my-way alerts, invoices, and review requests under one clear consent instead of asking five separate times, I respect quiet hours, and in states with extra texting rules (Florida, Oklahoma, Washington, Maryland, Connecticut, Texas, New York) I automatically apply the tighter limits those states require. You don't have to become a compliance expert to use me.

By signing up for or using HelloBob, you agree to these Terms of Service. If you don't agree, please don't use the service.
HelloBob is a subscription service for home-service businesses built around four parts: a Virtual Front Desk that answers customer messages across your website, texts, and social channels and books jobs on your calendar; a Website Builder that can create a full business website for you; Guided Setup, the questionnaire that configures everything around your real hours, services, and pricing; and an Owner Dashboard where you review conversations, appointments, reviews, and billing.
New subscriptions start with a 10-day free trial. No payment method is required to start the trial. Before the trial ends, you'll be prompted through an automated form to add a payment method to continue your subscription. If you don't provide payment information by the end of the 10 days, your access simply pauses until you do — you will never be charged without first entering payment details yourself.
After your trial, HelloBob is billed at one flat rate of $197 per month, the same price whether you run one truck or a full fleet. There is no long-term contract — you can cancel anytime, effective at the end of your current billing period.
HelloBob applies call-recording and texting rules automatically based on where your business operates. If your business is based in a two-party (all-party) consent state — including California, Connecticut, Delaware, Florida, Illinois, Maryland, Massachusetts, Montana, Nevada, New Hampshire, Pennsylvania, or Washington — call recording is handled to reflect that requirement. States with additional automated-texting rules (Florida, Washington, Oklahoma, and Texas) get the tighter limits those states require. You're responsible for making sure the information you provide during setup about your business's location and operations is accurate, since compliance settings are based on it.
You agree to use HelloBob for legitimate business communication with your own customers, and not to use it to send unlawful, harassing, or fraudulent messages, or to message people who haven't consented to be contacted.
You own the business information, photos, and content you provide us to configure your Virtual Front Desk and build your website. You grant HelloBob permission to use that content solely to provide the service to you. If you cancel, you can request an export of your website content and customer records.
HelloBob can connect to field-service software you already use, such as ServiceTitan, Housecall Pro, Jobber, or FieldEdge. Those are your own accounts with those providers — HelloBob only syncs data between systems you've authorized us to connect to.
You may cancel your subscription at any time from your Owner Dashboard or by contacting us. We may suspend or terminate accounts that violate these terms, misuse the service, or fail to pay after the trial period.
HelloBob is provided "as is." While we work to keep the Virtual Front Desk accurate and responsive, we don't guarantee it will catch or correctly handle every message, and you remain responsible for your business's customer relationships and legal compliance. To the fullest extent permitted by law, HelloBob isn't liable for indirect, incidental, or consequential damages arising from use of the service.
We may update these terms from time to time. We'll post the updated version here with a new "last updated" date; continued use of HelloBob after a change means you accept the update.
Questions about these terms? Reach out through the sign-up form or the chat widget available on every page of this site.
We collect the business information you give us during setup (hours, services, pricing, service area), your contact details, and the conversations, bookings, and reviews your Virtual Front Desk handles on your behalf. We also collect basic usage data about how you use your Owner Dashboard.
We use this information to operate the service: to configure and run your Virtual Front Desk, build and host your website if you use that feature, populate your Owner Dashboard, sync with field-service software you connect, and communicate with you about your account.
Where your business operates in a state requiring two-party consent for call recording, or additional consent for automated texting, HelloBob is configured to seek and log the appropriate consent before recording calls or sending certain automated messages, and to honor opt-outs immediately, however they're worded.
We don't sell your business's information or your customers' information. We share data only with the field-service or other integrations you explicitly connect, and with service providers (such as hosting and messaging providers) who help us run HelloBob, under agreements that limit their use of it to providing the service.
We retain your account and customer conversation data for as long as your subscription is active, and for a reasonable period after cancellation in case you want to reactivate or export it, after which it's deleted or anonymized.
We use industry-standard safeguards to protect your data, including encryption in transit. No system is perfectly secure, but we take reasonable steps to protect your business's and customers' information.
You can review, update, or request deletion of your business's data by contacting us or through your Owner Dashboard. Your customers can opt out of automated texts at any time by replying to any message, in any wording.
HelloBob is a business tool intended for business owners and their customers, not for children, and we don't knowingly collect information from children under 13.
We may update this policy from time to time. We'll post the updated version here with a new "last updated" date.
